Some people swear by Trello or Asana to stay organized but I swear by Airtable. Airtable is a customizable spreadsheet and database combo. Airtable’s founding principle is “...that software shouldn’t dictate how you work—you should dictate how it works.” I believe this statement 100%. Software should be what you need it to be not what others want it to be. I’m not the only one that believes in this system over 30,000 companies use Airtable including Target, Slack, Shopify, Buzzfeed, and Airbnb. Investors for Airtable include actor Ashton Kutcher and former product director for Facebook and Google, Benjamin Ling.
How to use airtable
First, you start with your database called a base. It then has several records which look much like a spreadsheet. You can add more columns by pressing the plus sign. In these columns, you can customize the type of record it is.
Types of records include:
- single line text
- long text
- attachment (ex. Document or picture)
- multiple select
- single select
- phone number
- created time
These records show the versatility of the system and the many businesses that could use it. Airtable would be great for a small digital business, writer, magazine, social media manager, and more. You can edit the column name and add a description for it. You can then sort the records from A-->Z and Z-->A, add a filter, and group by this field.
You can then change the views of the database. The main view is like a spreadsheet. The second view is a form. This form can be used on websites and other sites to intake information.
The next view is my favorite view, the calendar. The calendar sorts the records via date. You have to have a date field in the records for this feature. I commonly use this feature to visualize my social media scheduling.
The next view is a gallery. Each record is made into a card much like a Trello card. The last view is the Kanban. The Kanban sorts the records by a field and displays them in list view.
And the features don’t end here. With the free plan you get unlimited bases, unlimited grid, kanban, calendar, and gallery views, forms for data collection, 21 field types, real-time collaboration and commenting, web, desktop, IOS, and Android apps, 1,200 records per base, 2GB attachment space per base, and 2 weeks of revision and snapshot history.
